Room hire
The meeting room at ECIL is fully accessible, with a loop system and accessible loo. It is 136 square metres and is equipped with video, DVD and CD player, white boards, projector and screen, OHP and flipcharts, for which the hirer must supply the paper. A desktop computer can be linked to the projector, for presentations.
The room is used by disability organisations for regular groups, one-off meetings, training and events. We are fairly booked up, but if you need a space it is worth getting in touch with Jo Godden on 020 8840 8573 or use the 'contact us' page. At the moment we have availability.
Hire Charges
Hire includes use of the kitchen and car parking for six cars.
The charge to unfunded disability related groups is £5.00 per hour (reviewable if their funding situation changes). This charge also applies to groups that are able to ask their members for a contribution.
The charge to established organisations of disabled people, organisations doing statutory work around disability and fully funded projects is £10.00 per hour, with a minimum booking period of four hours.
The daily hire rate is £60 for half a day and £110 for a full day.
Locking up procedure
- Windows and doors must be locked.
- All internal doors must be shut.
- Turn all lights off (safety light in main room will stay on).
- Place red metal security gate runner on floor.
- Partially close the red gates, but leave a gap so you can get out.
- Insert security code (we will give you this) and press the confirm button (blue with tick), followed by the red button (house symbol on it). A continuous tone will sound.
- At this stage, step out of the building.
- Close the red security gate and close the front door.
- Wait 3 seconds and then press the black alarm button situated high on the outside door frame.

Conditions of use for the Ealing Centre for Independent Living Function Room
ECIL cannot be held responsible for loss or theft of or damage to property brought onto the premises by any hiring organisation or individual. ECIL cannot be held responsible for accidents if safety procedures or the responsibilities below are ignored or flouted.
Responsibilities of organisations hiring the function room
Hirers are responsible for:
- Providing their own Public Liability Insurance cover.
- The conduct of all persons they invite onto the premises.
- Ensuring that their invitees sign the visitors log.
- Making all their invitees aware of the ECIL General Safety and Fire Safety procedures (see next section).
- Minors and children, and ensuring that they are properly supervised.
- All furniture being returned to original arrangement if it has been moved.
- All rubbish being cleared away after the session.
- All windows and doors being closed at the end of the session.
- The building being vacated by 21.30 hours.
- Leaving the kitchen clean and tidy.
- Ensuring all computers and screens are turned off before you leave.
- Ensuring that hire times allow for setting up before and clearing up after sessions.
- Ensuring that group members do not arrive more than ten minutes before the start of sessions and leave promptly as there may well be another booking immediately after yours and we have no waiting area.
For out of hours bookings hirers are responsible for both opening and locking up the building. Please ensure that the keys have been picked up from the office, at the agreed time, and that you are familiar with the locking up procedure (ask at the office for instructions).
All groups are to provide their own:
- Refreshments including milk
- Markers for dry wipe board
- All other stationary (ie flip chart paper, pens, pencils, highlighters etc)Please avoid disturbing the office with requests for stationery items.
The spring water facility in the lobby is free.
Photo copying is 3p per copy. A member of staff will assist you with this. You are asked not to open the front of the photocopier if for any reason it appears not to work.
There is a kitchen, where you can prepare and cook food. We ask that you tidy up and put dishes in the dishwasher at the end of your session. Please dispose of all perishables before you leave.
Ealing Centre for Independent Living General Safety Procedures
- All passageways/areas must be kept clear of obstructions. eg wires, cables, objects on floor.
- Chairs are always to be put under tables or against walls when not in use and not left out to cause obstruction.
- All drawers and cupboard doors etc are to be closed immediately after use and not left open at any time.
- Food and drink are to be kept away from equipment/machinery particularly if they use mains electricity.
- Staff and users must ensure that they clean up after themselves or after anyone for whom they are responsible.
- In the kitchen surfaces are to be wiped. Clean the microwave, cooker or fridge if you are responsible for spillages. Throw away any unused food and drinks.
- The toilet must be left clean with the seat in down position etc. If you notice the soap, toilet paper or hand towel dispenser needs refilling please inform a member of ECIL staff.
- Electrical sockets must not be overloaded. One socket one plug policy.
- There is a no smoking policy throughout the building.
- Any faults in equipment must be reported immediately to the office.
- Any hazards around the building should be reported to the office.
Fire Safety Procedure
If you discover a fire:
Immediately operate the nearest fire alarm call-point by pressing the glass in with your hand. There are two in the ECIL building. They are located on the inside left of the main door and the inside right of the fire exit leading from the function room.
Attack the fire if possible with the appliances provided without taking personal risk.
Make sure everyone in your group leaves by the nearest fire exit and assembles outside the ECIL car park where a roll call, based on the signing in sheet, will be taken by a member of staff.
Extinguishers. Hoses or water-based extinguishers should not be used on electrical fires. Special extinguishers will be available where electrical appliances are based. Staff working in such sections should familiarise themselves with extinguishers and their application.
Extinguishers are located in the following areas:
LOBBY On the wall to the right of the main door underneath the office window there is a red water extinguisher and a red carbon dioxide extinguisher.
KITCHEN On the wall opposite the gas cooker hob by the dishwasher there is a fire blanket and a red carbon dioxide extinguisher.
FUNCTION ROOM On the floor by the fire exit doors there is a red water extinguisher.
On hearing the fire alarm at ECIL
- It is the responsibility of the most senior person on site to call the Fire Brigade (this will usually be a member of ECIL staff but in their absence the hirer will be responsible).
- Leave the building using the nearest available exit. Fire exits are clearly marked FIRE EXIT and are located at the main entrance door and the fire exit door from the function room.
- Everybody on site must go directly to the assembly point in front of the ECIL car park.
- Assist anyone who needs help in leaving the premises eg those with mobility difficulties or visual impairments and ensure any deaf/hearing-impaired people are aware of the alarm.
- Do not stop to collect personal belongings.
- Do not re-enter the building without permission of the fire brigade or the person in charge.
- The most senior person present in each room will take charge of evacuating that area.
- The most senior person on site should take overall responsibility for ensuring that no one is left in the building and close all doors on the way out.
- A member of staff will take the visitors log to the assembly point and read the roll call. Any missing persons should be reported to the fire brigade when they arrive.
